Tent Assignment Instructions

The week of the Ride is fast approaching! As part of the adventure of riding your bike 545 miles, or working together to support Cyclists for seven days, you will be camping for six nights with over 3,000 Cyclists and Roadies.

AIDS/LifeCycle provides all tents for the Ride, no outside tents are allowed. These tents are designed to accommodate two participants and their gear, and two participants will be assigned to each tent. There are no geographic restrictions for tent assignment, and you may select any active Participant who meets online tenting requirements as a tent mate, regardless whether they are a Cyclist or Roadie.

At Orientation Day Check-In, each participant will receive an assigned tent “address” indicating your assigned space on the tent grid. This address also determines the specific Gear Truck that will be transporting your gear from camp to camp.

NOTE: Every participant MUST receive a tent assignment, regardless of whether or not you plan to tent in camp, so that a Gear Truck can be assigned to transport your gear.

ONLINE TENT ASSIGNMENT

If you do not use online tent assignment, you will be assigned a tent at Check-In. Those who do not use online tent assignment will not be assured tenting with their group.

Cyclist Requirements: Cyclist must reach a minimum of $3,000 on or before May 15, 2015, in order to use Online Tenting
Roadie Requirements: Roadies must submit their Medical Form on or before May 15, 2015, in order to use Online Tenting

Online Tent Assignment – INDIVIDUALS

Intended for Participants not tenting with a group.

  • Use the Online Tent Assignment link in your Participant Center to find and select your tent mate.
  • Once your selected tent mate has met the requirement, they will be able to accept or decline your invitation in their Participant Center.
  • Once confirmed, you and your tent mate will receive your specific tent assignment at Check-In on Orientation Day.

Online Tent Assignment - GROUPS

Intended for Participants who wish to tent as a group.

Everyone in the group must meet the requirements for online tent assignment by May 15th, 2015. Members of the group that are unable to meet the requirement are not guaranteed a tent assignment with the rest of the group.

  • Groups should select a keyword and make sure all members of the group know what it is. We recommend choosing a keyword that is arbitrary and unique because if more than one group chooses the same keyword, those groups may be mixed together.
  • Teams wishing to tent together should use their discount code as their keyword. Check with your Participant Rep if you need your keyword.
  • Use the Online Tent Assignment link in your Participant Center to find and select your tent mate.
  • Once your selected tent mate has met the requirement, they will be able to accept or decline your invitation in their Participant Center.
  • Once confirmed, you will both receive a prompt asking whether you are part of a group. Select yes, and enter the group keyword when asked.
  • Once completed, you and your tent mate will receive your specific tent assignment at Check-In on Orientation Day.

IN-PERSON TENT ASSIGNMENT on Orientation Day

For those participants and groups that do not use Online Tent Assignment or do not meet the requirements by May 15th, 2015.

  • Visit the Tent Assignment line at Check-In on Orientation Day with your tent mate to receive your tent assignment.
  • If your entire group needs tent assignments on Orientation Day, all members of the group must be present at the same time to receive tents next to each other.
  • If you are hoping to tent with members of a group that already have assignments, arrive at Check-In before noon, go through the Tent Assignment line at Check-In, and ask to be placed with your group. NOTE: Tenting with your group in this manner is not guaranteed.
